How to Turn Your Excel Data Into a PowerPoint Presentation With Copilot
Most of us have spreadsheets sitting on our computers that are full of valuable information. Sales figures, project updates, customer feedback, budget numbers, it’s all there. The trouble is, a spreadsheet on its own rarely tells a story. And when you need to share what the numbers actually mean, you’re often left building a presentation from scratch.
Gathering the insights, choosing the right charts, writing the summaries, formatting the slides and lining everything up with your branding can quietly eat up an entire afternoon. For busy business owners, managers and teams, that’s time you’d rather spend making decisions, not wrestling with slides.
This is exactly where Microsoft Copilot in PowerPoint is starting to make a real difference. In this blog, we will walk you through how to turn an Excel file into a presentation, share a few tips to get better results, and explain how we can help your team build this skill with confidence.
Before we get into the “how”, it’s worth being clear on the “why”. The real value here isn’t that Copilot can make slides. It’s that it helps bridge the gap between data and decision-making. Instead of staring at a blank presentation, you start with a solid first draft, one that’s already pulled out the highlights and suggested some visuals.
You still bring the expertise. You still check the outputs and shape the final story. But getting to a first draft in minutes rather than hours changes how you work. Less time formatting, more time discussing what the data actually means.
Make sure you have a Microsoft 365 Copilot licence (this is the paid add-on, not the free Copilot Chat). PowerPoint installed as part of your Microsoft 365 apps.
An Excel file with clean, well-organised data, ideally with clear column headings and a tidy table. A quick word on that last point: the cleaner your spreadsheet, the better your results. If your data is spread across merged cells, messy tabs or unlabelled columns, Copilot will struggle to make sense of it. A little tidying up first goes a long way.
How to Create a Presentation From Excel Data — Step by Step
Step 1: Save Your Excel File Somewhere Copilot Can See It
Save your spreadsheet to OneDrive or SharePoint. Copilot works best when your file lives in the cloud rather than only on your local drive, as it needs to reference the file directly.
Step 2: Open PowerPoint and Launch Copilot
Open a new blank presentation in PowerPoint. Look for the Copilot button on the Home ribbon and click it to open the Copilot pane on the right-hand side.
Step 3: Point Copilot at Your File
In the Copilot pane, type a prompt that references your spreadsheet. For example:
“Create a presentation based on [file name] highlighting the key insights with supporting charts.”
You can reference the file directly by typing a forward slash (/) followed by the file name, which helps Copilot find the exact document you mean.
Step 4: Be Specific About What You Want
The more direction you give, the better the outcome. Rather than a vague request, tell Copilot what matters. For example:
“Create a 6-slide presentation summarising our monthly sales results. Highlight the top three products, show a chart of sales by region, and include a summary slide with key takeaways.”
Being specific about the number of slides, the focus areas and the visuals you want makes a big difference to the first draft.
Step 5: Let Copilot Build the Draft
Within a few minutes, Copilot will:
Analyse the data in your spreadsheet
Identify the key highlights
Suggest charts and visuals to support the story
Apply your organisation’s branding and template
Build a first-draft presentation ready for you to review
Step 6: Review, Refine and Add Your Expertise
This is the most important step, so don’t skip it. Read through every slide and check the numbers against your source data. Ask yourself:
Are the charts showing the right information?
Has anything important been missed?
Does the story flow in a logical order?
Does the language sound like us?
You can ask Copilot to make changes directly in the pane, for example, “Add a slide about next quarter’s targets” or “Rewrite the summary in a more formal tone.”
Once you’ve tried the basic workflow, these tips will help you get more from it.
Tidy Your Data First
Clean, labelled data in a simple table format gives Copilot the best chance of understanding your information correctly. Remove blank rows, unmerge cells and make sure each column has a clear heading.
Start With Your Brand Template
If your organisation has a branded PowerPoint template, open it first before running Copilot. That way, your draft comes out looking on-brand from the start, saving you reformatting later.
Use Clear, Specific Prompts
Think of your prompt as a brief you’d give a colleague. Include the purpose, the audience, the number of slides and the key points you want covered. The clearer your instruction, the closer the first draft will be to what you need.
Always Validate the Output
Copilot is a brilliant starting point, not a finished product. Treat every draft as version one. Check the facts, confirm the figures and apply your own judgement before you share it with anyone.
What excites me most is the shift we’re seeing. Microsoft is moving beyond simple AI assistance towards helping people communicate insights, not just analyse them. The question used to be, “Can AI help me create content?” Now it’s becoming, “How quickly can AI help me turn information into action?”
For teams, that means less time buried in formatting and more time on the conversations that actually move the business forward.
Tools like this are only as powerful as the people using them. If your team has Copilot but isn’t quite sure how to put it to work, that’s where we come in.
At 365 Training Hub, we run practical, people-first training that helps your team use Copilot with real confidence, including hands-on sessions like this one, using your own files and workflows. No jargon, no theory for the sake of it. Just useful skills your team can apply the very next day.
If you’d like to help your people spend less time formatting slides and more time making decisions, get in touch with us and we’ll tailor a session to suit your team.
