How to Find Emails Faster in New Outlook | Outlook Training

Here's a situation that comes up all the time.

You can't remember exactly what the email said, but you can clearly remember there was a document attached to it.

Maybe it was:

  • a quote from a supplier

  • an Excel spreadsheet from a colleague

  • a Word document from a client

  • a PowerPoint presentation

  • a PDF containing important information.

That little piece of information can help.

When searching in the New Outlook, look for the Attachments filter. If you know the email you're trying to find contained a file, filtering your results to messages with attachments can remove some of the clutter.

Rather than searching through every email that matches your search term, you can focus on the messages most likely to contain what you're looking for.

It's one of those simple features that's easy to overlook until you know it's there.

Better search starts with changing how you think

Here's another useful tip we share in our Microsoft 365 training: don't keep repeating the same search and hoping for a different result.

If someone's name produces too many emails, think about what else you know.

You might remember that the email was about a proposal, contained a spreadsheet or was received around the time of a particular project.

The more relevant information you can bring to your search, the easier it becomes to narrow the results.

That's an important workplace skill, particularly as the amount of information we deal with continues to grow.

Knowing where to search matters too

Another thing to consider is the scope of your search.

Are you searching in the right place?

When you are trying to find something quickly, it's worth paying attention to where Outlook is searching rather than simply typing something into the search box and accepting the first set of results.

Understanding your search options, filters and scope can make a real difference.

And this is exactly why we believe Microsoft 365 training should go beyond showing people where buttons are.

The real value comes from understanding when to use a feature and how it can make your everyday work easier.

Small Outlook skills can add up

Searching for email might seem like a small thing to train people on.

But think about how often you hear:

"I know someone sent it to me."

"I'll have to go back through my emails."

"I can't remember what the email was called."

"Can you resend that document?"

For people working with a busy inbox, these little interruptions can become part of the working day.

Learning better ways to search Outlook is just one example of how improving everyday Microsoft 365 skills can help people work more confidently and efficiently.

New Outlook is about more than email

Moving to the New Outlook is also a good opportunity to step back and look at the way you work.

Rather than simply trying to recreate old habits in a new interface, ask:

Is there now an easier way to do this?

That might mean improving the way you search for messages, manage your inbox, organise information or use Outlook alongside the other Microsoft 365 applications you work with every day.

This is where training can make a significant difference.

If people are simply given a new application and expected to work everything out themselves, they may only discover a fraction of the features that could help them.

And a good place to start?

The next time you know an email is there somewhere, don't just scroll. Search smarter.
