How to Explain Microsoft Copilot in Plain English?

So, how would you explain Microsoft Copilot to your grandmother?

Why Plain Language Matters More Than Ever

If we want people to feel comfortable using AI, we need to talk about it in a way that feels familiar, useful, and a little less intimidating. People connect with simple language. They switch off when they hear jargon. And right now, there is a lot of jargon flying around.

Think about it. When someone says "leveraging generative AI to optimise workflows through natural language processing," most people's eyes glaze over. But when you say, "It's like having a really smart office junior who can summarise a long document in seconds, draft an email reply for you, or pull together notes from a meeting you missed" suddenly, people lean in.

That shift in language is everything. It is the difference between someone thinking AI is not for them and someone thinking, "Actually, I could use that right now."

What We See in Training

That is something we see all the time in our Copilot training. When we strip away the jargon and explain it in everyday terms, people relax. They ask better questions. They start to see how AI could genuinely help them, not in some futuristic, abstract way, but in their actual work, today.

In our Be Future Ready workshop, we spend three hours with teams doing exactly this. It is a hands-on, practical session designed to demystify Copilot and show people what it can really do. We cover everything from summarising lengthy documents and comparing procurement quotations, to drafting emails in Outlook and finding meeting summaries in Teams. We even explore Copilot Agents, what they are, where to find them, and how to create your own.

The magic is not in the feature list. The magic is in the moment someone realises they have been spending 30 minutes on a task that Copilot can help with in 30 seconds. That is when the lightbulbs start going off.

One of our clients, J. Curtis from CLM Law, put it perfectly after a recent session:

"The courses were very practical and all hands-on, so engagement was high. People who've never used AI before seeing practical uses not just for work but in their home lives too. It was just brilliant to see all the lightbulbs going off in every session."

That feedback captures exactly what we aim for. Not just understanding, but genuine confidence.

The Real Barrier Is Not the Technology

Here is something that might surprise you: the biggest barrier to AI adoption is not the technology. It is the language we use to talk about it.

When organisations roll out Copilot, they often lead with technical specifications, feature announcements, and IT-centric communications. That approach works for the early adopters — the people who are already exploring AI on their own. But for the majority of your team, it can feel overwhelming, even alienating.

The Grandmother Test flips this on its head. Instead of starting with what the technology does, you start with what the person needs. What is frustrating them? What takes too long? What do they wish they had help with?

When you frame Copilot as the answer to those everyday frustrations, adoption follows naturally.

A Practical Example That Pass the Test

So what does this look like in practice? Writing good prompts: "Think of it like giving instructions to a new team member. The clearer you are about what you want, the better the result. None of that requires technical expertise. It just requires someone to explain it clearly and give people a chance to try it for themselves.

Where Real Adoption Starts

If your team is trying to make sense of Copilot and turn it into something practical, that is exactly the work we support at 365 Training Hub. Helping people understand where it fits, how to use it well, and how to build confidence with it. This is where real adoption starts, not just with a rollout plan, but with people feeling genuinely equipped to use the tools in front of them.

Our Be Future Ready workshop is often the first step in that journey. It is designed for leadership teams and champions, the people who will set the tone for how AI is embraced across the organisation. From there, we offer a full pathway of one-hour courses, deep-dive Power Hours across Outlook, Teams, Word, Excel, and PowerPoint, and ongoing support through our 365 Copilot Hub to keep the momentum going.

Here is the thing: training is an important starting point, but sustainable adoption requires ongoing support. People need to build confidence over time, apply Copilot in real work, and adapt as the technology evolves. That is what we help organisations do.

The Bottom Line

AI does not have to be complicated. It does not have to feel out of reach. If you can explain it in a way your grandmother would understand, you are already halfway there.

And if you would like help getting your team to that point, with practical, hands-on training that leaves people feeling confident, not confused, we would love to chat.
