How to Share a Teams Meeting Recap to Email

What is Share to email in Teams Meeting Recap?

Share to email is a new option in Microsoft Teams Meeting Recap. It creates a draft Outlook email that already contains your meeting notes and follow-up tasks. You can then check it, edit it and send it.

How to share a Teams meeting recap to email

  1. Open the meeting in Microsoft Teams and go to the Recap tab.
  2. Along the top, find the Share button.
  3. Select the drop-down arrow next to Share.
  4. Select Share to email.
  5. Outlook opens a new draft email.
  6. Check the content, make any changes and select Send.

What's included in the email?

The draft email already includes:

  • Recipients: the meeting attendees are added to the To field
  • Subject line: based on the meeting name
  • Introduction: a short message thanking people for the meeting and mentioning the date
  • Meeting notes: a summary of what was covered
  • Follow-up tasks: action items from the meeting

Check the AI-generated content

The email includes a note saying the content was generated by AI. Before you send it, take a moment to:

  • Check names, dates and figures are correct
  • Make sure the action items and owners are right
  • Remove anything private or sensitive
  • Add or remove recipients if needed

Why use Share to email?

  • Saves time: you don't need to copy and paste from Teams into Outlook
  • Keeps everyone aligned: attendees get the same summary and actions
  • Helps people who missed the meeting: you can share outcomes with people who couldn't attend
  • Gives you consistent follow-ups: every meeting summary has the same clear layout

Frequently asked questions

Where is the Share to email button in Teams? Open the meeting Recap, then select the drop-down arrow next to Share and choose Share to email.

Can I edit the email before sending it? Yes. It opens as a draft in Outlook, so you can change the recipients, subject and content.

Why can't I see AI meeting notes in my recap? AI-generated notes depend on your Microsoft 365 licence and your organisation's settings. If you're not sure, ask your IT administrator.
