Do I Actually Have a Copilot License? Here's How to Tell in Seconds

If that sounds familiar, you're in good company. It's one of the most common questions we hear. It's a fair one. Microsoft has rolled out several flavours of Copilot over the past couple of years, and the naming hasn't always made life easy.

So, let's clear it up. In this post, we'll walk through how to tell in seconds, whether you're on the free version or the licensed one, what the difference actually means for your day-to-day work, and why it matters even if you're not paying for a license yet.

Why There's So Much Confusion

Copilot isn't one single product. It's a family of tools that sit across the Microsoft 365 ecosystem, and each one behaves a little differently depending on:

  • Whether you're signed in with a personal or work account

  • Whether your organisation has purchased Copilot licenses

  • Which app you're using it in (Word, Excel, Teams, Outlook, the browser, etc.)

  • Whether you've toggled between Work and Web mode

Add to that the fact that Microsoft has renamed and repositioned Copilot a few times, and it's no wonder people feel a bit lost. The good news? Once you know what to look for, it becomes very easy to spot which version you're on.

The Two Versions Most People Are Using

1. Microsoft 365 Copilot Chat (no license required)

The key thing to know: when you're signed in with your work account, your prompts and data are protected by enterprise data protection. That means what you type isn't used to train the AI, and your organisation's data stays inside your tenant.

2. Microsoft 365 Copilot (the licensed version)

This is the paid version, and it's where the real magic happens for many teams. With a license, Copilot can:

  • Work inside your Microsoft 365 apps; Word, Excel, PowerPoint, Outlook, Teams, OneNote

  • Access your work data (with your permission); emails, files, chats, meetings

  • Draft, summarise, analyse, and create using your content, not just general knowledge

  • Join your Teams meetings and give you a recap afterwards

This is the version that shifts Copilot from "helpful chatbot" to "genuine work assistant."

How to Tell Which One You've Got; In Seconds

Here's the quick check. Open Copilot in your browser or in the Microsoft 365 app, and look for these three signals:

1. The Work / Web toggle

If you can see a toggle that lets you switch between Work and Web, you're looking at Copilot Chat. The Web side searches the internet; the Work side searches your organisation's data  but only if you have a license.

No toggle at all? You're likely in the free experience with web-only access.

2. The green shield icon

Look for a small green shield near the prompt box. That shield tells you enterprise data protection is switched on, meaning your data is safe, regardless of whether you're licensed. This is a big deal for anyone worried about data privacy: even the free version keeps your prompts inside your organisation's protected environment when you're signed in with your work account.

3. Copilot inside your apps

Open Word, Excel, or Outlook. If you see a Copilot button in the ribbon that can actually draft, summarise, or analyse your documents and emails, you've got the licensed version. If Copilot only appears as a chat window that can't touch your files, you're on the free tier.
