Microsoft Teams Roll Out as part of the Covid Response

Microsoft Teams was a critical component of the ADHB’s IT response to supporting COVID-19 and was fast tracked into the ADHB to enable new ways of working so that the Incident Management project teams could work remotely with tools to enable collaboration and flexibility.

ACTIONS

Once the Covid-19 Incident Management Teams experienced the benefits of using this new hub for working, there was a further demand to continue the rollout across the Directorates for the Leadership teams

CHANGE AND TRAINING

The change was mobilized by establishing a network of site champions using agile change methodologies to co-create solutions for each Covid-19 project team. We created actionable communications to drive engagement and we provided clear instructions as to how Microsoft Teams could be easily downloaded. Drop-in live webinar sessions and a virtual help desk gave immediate support to these people who were working on the front line and often time poor.

REPORTING

We also tracked awareness, engagement, capability and adoption against project KPIs’ to provide visible, real time feedback on ROI and actionable insights for reporting back to the New Zealand Ministry of Health.

Unitec
Microsoft Teams Migration from Skype for Business

2020 was the time for Unitec to upgrade Skype for Business and embrace the new ways of working that Microsoft Teams could offer the business. The migration coincided with the second lockdown which added an additional layer of complexity with many staff off site. The IT team who we worked closely with proved resilient and through creative thinking, flexibility and excellent collaboration, the project was brought to a successful close.

CHANGE AND TRAINING

Through working closely with the Unitec Comm team, we developed appropriate communications in keeping with the culture of the organization and tapped into the multiple streams of communication available. A customised ‘A Day in the Life’ style training was delivered via live webinar and in video format to showcase the many facets of Microsoft Teams and the various touchpoints throughout a typical working day.

REPORTING

We developed a Microsoft Forms for User Acceptance Testing to gain feedback and insights from the Pilot groups prior to the roll out and Training Evaluation forms helped us develop our resources in direct response to their needs.
